Offline vs online billing software: what happens when the internet goes down
Basics · 5 min read · 2 November 2026
Restaurant billing software comes in two kinds. Some run only in the cloud: every bill is made on a server over the internet. Others are offline-first: the bill is made on your own PC, and a copy goes to the cloud. On a normal day you cannot tell the difference. On the day the internet goes down, you can.
Cloud-only billing
With cloud-only software, the screen at your counter is just a window to a server. If the internet drops, or the server is slow, the counter waits. Some systems have a limited "offline mode", but often it cannot print KOTs, look up old bills or settle payments properly until the connection is back.
Cloud-only has real benefits: nothing to install, and you can see your data from anywhere. But in many Indian towns and on highways, the internet is not reliable enough to bet your Saturday night on it.
Offline-first billing
Offline-first software keeps a full database on your PC. Billing, KOTs, printing, reports and cash all work with no internet at all. When the connection is back, the new bills are sent to the cloud in the background.
You get both: a counter that never waits, and a cloud copy of every bill.
Questions to ask before you choose
- Can I bill and print KOTs with the internet unplugged? Ask for a live test in the demo.
- Where are my bills saved first? On the PC, or only on a server?
- How often is the cloud backup? Every few minutes is good. Once a day is risky.
- What if my PC breaks? Can a new PC get the menu, staff and old bills back?
- Is there a local backup too? A nightly copy on the PC or a USB drive protects you even if the cloud is unreachable.
What about data on the PC: is it safe?
Keeping data on the PC means you should protect the PC: a UPS for power cuts, staff PINs so not everyone can do everything, and a backup. A good offline-first system takes care of the backup part for you, automatically.
How DeviPOS works
- Every bill is saved on your PC (or Android device) first. Billing, KOTs, printing and reports work without internet.
- New bills go to the cloud backup when the internet is there, at the latest within about 5 minutes.
- A local backup runs every night, with an option to copy it to a second folder such as a USB drive.
- New or repaired PC: sign in with the owner account and the restaurant comes back from the cloud.
- With two devices, each keeps working on its own if the internet drops and they catch up when it returns.
